Privacy Policy

This document is a draft awaiting review by counsel. Its effective date will be set when it is finalized.

The US-China Chamber of Commerce Silicon Valley (“USCCCSV”, “the Chamber”, “we”, “us”) respects your privacy. This Privacy Policy describes how we collect, use, and share personal information when you visit our website, apply for or hold a membership, register for events, subscribe to our newsletter, or contact us.

Information we collect

  • Account and membership information: your name, your name in Chinese if you give one, email address, telephone number, company, job title, industry, city, and the details you provide in a membership application or your member profile.
  • Payment information: membership dues and event fees are processed by our payment processor, Stripe. Your card details are entered on Stripe’s own hosted page and never reach our servers. We never receive or store your full card number. We keep a record of each transaction — the amount, the date, its status, and the card’s brand, last four digits and expiry — for billing and accounting.
  • Event registrations: the events you register for, the organization you register under, whether you attended, and any information you provide when registering.
  • Directory listing: if you opt in, the profile fields you choose to make visible in the public member directory.
  • Communications: messages you send through our contact form, including the language you wrote them in; your newsletter subscription; and your email preferences.
  • Consent records: when you agree to automatic renewal, we record what you were shown, the exact version of the terms you accepted, the price and renewal interval disclosed to you, the moment you agreed, and the network address and browser you agreed from. This is kept as evidence that your consent was properly obtained, as the law requires.
  • Technical information: network address, browser and device information, and cookies needed to keep you signed in, remember your language, and protect the site from abuse.

How we use information

  • To review membership applications, administer memberships, take payments, and send renewal reminders, receipts and acknowledgments.
  • To register you for events and send confirmations and event updates, including telling you if an event is cancelled.
  • To display your profile in the member directory if you have opted in.
  • To answer your enquiries, and to send newsletters and Chamber announcements you have chosen to receive. You can unsubscribe from those at any time using the link in each message. Messages about your own account, payments and registrations are sent regardless, because they are part of the service you hold.
  • To operate, secure and improve the website, and to meet our legal obligations.

How we share information

We do not sell your personal information, and we do not share it for advertising. We share it only with the service providers that run the Chamber’s systems, and only as far as each needs to do its job:

  • Stripe — payment processing and the storage of your saved payment method.
  • Supabase — the database that holds your account and membership records, and the sign-in service.
  • Vercel — hosting for the website and member portal.
  • Resend — delivery of the email we send you.

We also share information with other members and the public where you have opted in to the member directory, and where the law requires it or it is needed to protect the rights and safety of the Chamber and others.

Our website loads no third-party advertising or social-media scripts. Sharing a page to a social network opens that network’s own page with the address; nothing about you is sent to them from our site.

Member directory

Appearing in the public member directory is optional. You can turn your listing on or off at any time in the member portal, and choose which fields it shows. Listings appear only while a membership is in good standing, and are hidden automatically when a membership expires.

Cookies

We use only cookies that are strictly necessary: keeping you signed in, protecting the site from abuse, and remembering whether you read the site in English or Chinese. We do not use advertising cookies or third-party tracking.

How long we keep information

We keep membership and transaction records while your account is active, and afterwards as long as we need them for legal, accounting and audit purposes. Records of your consent to automatic renewal are kept for at least three years from the date you gave them, or one year after your membership ends, whichever is later, because the law requires us to be able to show that consent was properly obtained.

You may ask us to delete your account. We will do so except where we are required to keep a record. Deleting an account cancels any live subscription first, so nothing continues to be charged.

Your rights

You can see and correct your own details at any time in the member portal, and choose what the directory shows. California residents may have additional rights under the California Consumer Privacy Act, including the right to know what personal information we hold about them, to ask for it to be deleted, and not to be treated differently for asking. To exercise any of these rights, contact us.

Security

Connections to this site are encrypted. Card details are entered on our payment processor’s own hosted pages and never reach our servers. Administrative access is restricted to named people, each with only the areas of the administration they need, and the Chamber can require administrators to complete a second authentication step. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

Our website and services are intended for adults and businesses. We do not knowingly collect personal information from children under 13.

Changes to this policy

We may update this Privacy Policy. We will post the updated policy on this page and change the effective date, and for material changes we will tell members by email.

Open points for legal review

This section is for the Chamber and its counsel and should be deleted before this policy is treated as final.

  • Whether the California Consumer Privacy Act applies to the Chamber, and if so which disclosures and request mechanisms it requires beyond those described above.
  • Confirmation of the retention periods stated above, and whether any record type needs a different one.
  • Whether recording the network address and browser against a consent record is the right balance, given that the record exists to prove consent.
  • Confirmation of the processor list, and whether any additional disclosure is required for processors located outside the United States.
  • Whether a cookie consent banner is required given that only strictly necessary cookies are used.
  • The effective date, and whether existing members must be notified of this policy's first publication.
